Objective
The International Crisis Group wanted to design a milestone event for its 2009 Award Dinner, to showcase its past success, gather world leaders together, and look towards the future. ICG, a leading international nongovernmental organization promoting conflict prevention and peaceful resolution, asked ConceptLink to manage planning and execution for this moving and high-profile evening. The event raised funds for ICG’s programs and recognized international leaders for their work in support of peace and reconciliation.
ConceptLink’s Role
• Developed and managed all project timelines and budget
• Managed on-site logistics, including: room layout, catering, floral arrangements, A/V, security, photography, videography, lighting
• Leveraged vendor relationships to secure cost-effective contracts.
• Selected expert graphic designer to produce sophisticated event invitations, journal, and gifts for attendees
• Coordinated with production and advance teams of all honored guests
• Arranged all logistical, production, and hospitality needs for the musical guest and crew as well as Master of Ceremonies
• Tracked event ticket sales and RSVPs; managed room lists with hotel
• Conducted press outreach and event marketing
• Created large-screen multimedia presentation, displayed throughout the event
• Secured and assembled 500 gifts for guests and VIPs
• Managed all day-of event production elements, ensuring successful set-up, professional call-of-show, and a seamless program
Results
• 480 guests attended; event sold out weeks in advance
• Produced successful event under budget; donations totaled more than $1 million
• Event was held in the Waldorf-Astoria Hotel’s historic Starlight Roof
• Program included three renowned honorees: former Presidents William J. Clinton and George H.W. Bush, and the former Deputy Prime Minister of Lebanon, Issam M. Feres. CNN’s Chief International Correspondent, Christiane Amanpour, served as the Master of Ceremonies
• Special performance by musician James Taylor
